Authorisations tracked per clinician

In a group practice, session-limited authorisations run down at different rates for every client. We track the counts and flag them before they lapse.

Supervisee billing handled correctly

Where associates or interns bill under a supervisor, the requirements are specific and payer-dependent. Getting it wrong is a repayment risk, not just a denial.

Denials appealed with the reason recorded

Every denial gets a cause logged so recurring ones get fixed rather than repeating each month.

How the switch works

  1. We review your recent claims

    A sample of what you have been submitting shows what is being denied and why, before anything changes.

  2. Access, not migration

    You add us to the TherapyNotes account you already have. Nothing moves.

  3. We check enrolment for every clinician

    Group practices grow by adding clinicians, and enrolment for a newer one is the thing most often left half-finished.

  4. New claims start immediately

    Current sessions flow to us straight away so nothing stalls.

  5. Then anything outstanding

    Old unpaid claims get worked, oldest first, because those are closest to their filing deadlines.

Adding a clinician is where group practices lose money

A new associate starts seeing clients before their enrolment completes. The sessions happen, the claims deny, and by the time anyone traces it the filing window on some of them has closed.

Supervised billing has rules that are easy to get wrong

When an associate bills under a supervisor, payers differ on what the supervisor must document and how involved they must be. This is one of the few billing errors that can lead to money being taken back rather than simply not paid.

The card is often the wrong payer

A client presents a major insurer’s card while the behavioural benefit is administered elsewhere. The claim comes back denied for nothing clinical - it simply went to the wrong company.

Is this worth it for a small group?
Usually, if you are adding clinicians or writing off denials nobody has time to appeal. If you are two clinicians with steady volume and few denials, honestly it may not be, and we will tell you that rather than sell you something.
Do we have to leave TherapyNotes?
No. We work inside the account you already have.
Can you handle billing for associates under supervision?
Yes, and it is worth getting right. Requirements vary by payer and it is an area where errors can result in money being recouped rather than just denied.
Can you get our newer clinicians enrolled?
Yes. Credentialing is charged per application, per provider, and for growing group practices it is usually the most urgent thing.
What does it cost?
Billing is 4-8% of collections depending on volume and specialty. All rates are published on our pricing page.
